Education > Accounting Studio Magic > ASM 101 Introduction

What did Bob Ross and Mr. Rogers have in common?

A Passion for sharing with all Ages while using very simple vocabulary.

Doing Digital Bookkeeping and Accounting is far easier than learning the vocabulary.
In our solutions, you get to cut, paste and pick from lists,
and in some, a Green Light will tell you when you did it all right!!

It's like crafts class many years ago, and we talk about Finger Painting too!

The formal vocabulary is a bit more difficult to learn.
There seems to be multiple words for many singular concepts,
although that is the case for many other things you've mastered too!

Go slow. With a good teacher it comes with time.

In this introductory series we are going to welcome Bob Ross, Mr. Rogers, Dr. Seuss, Richard Simmons, and Gil Boyne into a single channel. Please don't confuse our attempt to use simple vocabulary and our desire to keep it simple with anything other than a passion for sharing in a way that is as inclusive as we could muster.

If as you start reading Part 1 below, you feel it's not for you,
just read the summary for it and skip to part 2.

The fun funny prose will wane as the content grows,
although we'll try to slip it in now and again to remind you to wiggle your toes.

Your Capstone Class awaits.

Bookkeeping is Scorekeeping for the Game of Commerce,
and We're all Commercial Players in our own Commercial Way.

Our Motto is "Practice First - Theory Second"

When you're at the top of the educational obelisk, where the Capstone resides, it's typically impossible to practice first because most are clueless what they're going to practice, much less how to do it. The rest claim they understand the tiny pyramid atop without a clue of the mass below.

Certainly we should give you "some theory" before you practice sight for the first time, right?  That may not always be the case, but for Bookkeeping and Accounting surely it's true?

Learning about Bookkeeping and Accounting isn't remotely like learning meditation or yoga or any of that other simple stuff.  Teaching you about what's keeping you here is a heck of a lot harder than teaching you how to get out of here. The latter is easy while the former has turned into a Formidable Foe!!

For those with a maximum reading capacity of a single page or less, we created the Single Page Visuals to get you going, but beyond that you may be on your own.

For the rest of you, please afford us the pleasure of your reading attention for 10 to 20 minutes. Yes. We realize for some that is a literary eternity. Our hope is that others will be available soon to spoon feed it to you too, but until then, this will have to do. We sincerely hope you'll enjoy the prose on the way to plucking your very first Bookkeeping Rose.

It's Bookkeeping and Accounting for goodness sake!!
It's just addition and subtraction and yet nobody can do it?!
Give us a Break!! No one can prepare for this type of Challenge !!
This is a case for Captain Zero, the new Super Hero!!
Indeed. It's time for you to meet You.
Because you are moving too fast, as most are in our busy world today,
just read the summaries under each section below first.
Blow off the documents on the first pass.

When you get to the bottom, wave quickly to the Tiny Tin Man Sipping Soda in a Sombrero,
and then come back to this very spot and ask yourself a very important question.

It'll be you to yourself - but only AFTER a quick spin to the bottom of this page first
without peaking behind Door #1 and without doing any document related detours...

SURPRISE QUESTION BEHIND DOOR #1 !!
!!DON'T READ THIS ON YOUR FIRST PASS, OR YOU'LL SPOIL THE FUN!!
You to Yourself - "Could I have ever gotten that informational snapshot of education as quickly from a video?"
  • With the written pose below you were given the power to quickly go through that which you knew (or cared less about) while going slower through that which "caught your eye".
    • No video setup provides anything close to that as easily, and none ever will.
    • Sure, some video interfaces now have those buttons that can run at multiple speeds faster and slower than time, but the ability to then go back and find a spot of interest at a later date, on demand, is simply not there and it never will be. The written word is and always will be the King of the Communication Jungle, until the very end of time.
Try it out.
  • Writing that is.
  • Just try it out some day. You might find you are like it too.
  • Pros only become Prose when Poetry flows freely and gently down the stream.... "and if you see a Crocodile, don't forget to scream!!" ( a new version here! )

ASM 101 Intro - Part 1 - Welcome to the GEMSTONE

With a focus on Finger Painting and Gregarious Goats Gallivanting about, in 10 pages or less you get:
  • A reminder.  This represents the short version of Everything.
    • Don't ask for more now. It's all waiting for you to arrive later!!
  • An Introduction to the GEMSTONE Educational Model (GEM)
  • An Introduction to the differences between Bookkeeping and Accounting
  • An Introduction to the Best Way to learn about Bookkeeping and Accounting no matter if your end goal is Personal, Small Business or Big Business Bookkeeping and Accounting (Hint: It's via a focus on Small Business Scenarios first, no matter what your end goals may be.)
    • An Introduction to Small Business Sales System Software and Universal Bookkeeping Software
    • An Introduction to Recordation, Categorization, and Report Generation as a generic practice found in both types of Software systems
    • An introduction to "the Universal Bookkeeping System" first, because it's a one-size-fits-all system.

Intro Q and A
Q) If the Bookkeeping System is "Universal" for all user types why the need to learn via Small Business Scenarios first?   A) While the Bookkeeping System is universal, the way it's used changes slightly and without seeing it as a companion system to a sales system everyone tends to want it to do more than it should.  This stops those types of thoughts before they can gain any traction.

Q) If I won't be needing a Sales System, isn't this approach a waste of time?   A) No. This is the easiest way for you to realize all work for a well rounded Bookkeeping and Accounting System need NOT be contained in a single software module/system. It also provides an exceptional example of what a good, non-integrated hand off between two financially oriented software systems looks like.

Simple education for Bookkeeping and Accounting attracts all races, classes, nationalities and ages so just KISS (Keep it Simple and Silly). Imagine the Pied Piper on steroids and remember, if this type of prose is not your kind of rose, just consume what you like and keep sliding down the hose.

ASM 101 Intro - Part 2 - Sales Software & Bookkeeping Software - A Complimentary Software Dance

In 10 pages or less, you get...
  • Sales Software & Bookkeeping Software:  A Side-by-Side Comparison reveals a Complimentary Dance
  • Sales Software & Bookkeeping Software: The Critical Hand off. A Key for Software Liberation
  • Common Misconceptions about Small Business Bookkeeping and Accounting Software
  • The Story of Quickbooks.  A shocker that will surprise many. Spoiler Alert:
    • The founders of Intuit, the parent company of Quickbooks had no Accounting Background
    • They did not originally start Intuit to create Accounting Software, and in fact, it was started to do the absolute opposite by creating financial tracking software that was NOT based on double entry bookkeeping and accounting methods.
    • When Intuit decided to create Accounting Software for Small Business in the late 1990s, it was 15 years after founding.  They  only did it because there was an extremely odd and persisting software market void that had been around for over a decade, and that odd void is most deserving of far more attention now,.
    • In fact, Intuit created Quickbooks in response to "whining accountants and spreadsheet experts" who refused to innovate for themselves. It's odd how a need left to be filled by others became an odd digital jail.
    • Thankfully, the doors on that multi-decade cell are starting to open up again.
  • Dreaming of a New Paper Clip

ASM 101 Intro - Part 3 - Why are Spreadsheets a far better platform for Small Business Database Applications than Database platforms themselves?!?

Have you ever seen such an inverted technology question posed so clearly before? If you are going to invest time into this "new" paradigm. as you should, it's worth knowing for SURE it will be time well spent.

In this section, we introduce a generic data management model and some simple technology vocabulary to simplify understanding so you can be positive this is darn good Stew!
  • A Cognitive model called FsDTsR (pronounced Fiz-Ditz-Ers) is revealed! It provides structure for "Small Business Database Software Applications" that enables you to grow your understanding with ease.
  • A "complexity comparison" between the two methods for Database Application Offerings is performed, and here's the gist of it..
    • 7 Software Packages and 6 Programming Languages are required to develop and publish a Small Business Database System for cloud applications using traditional Database Platforms
    • 1 Software Package and 1 Programming Language is required to develop a Small Business Database System in a Cloud Spreadsheet.  A 2nd Programming language can be used for enhancement if needed, but it's often not required and should be avoided when possible.

Certainly each has Pros and Cons, and they are not always interchangeable, but when the FAR simpler 1 proves to be more efficient, more functional, more private and more cost effective for most small applications, Global Attention shifts quickly!

  • Two Simplicity Secrets behind Database Systems in Spreadsheets are:
    1. Spreadsheets offer direct Access to raw data tables for both Programmers and Users. Databases only offer direct access to programmers. Spreadsheets offer bulk data manipulation via mouse and keyboard where as databases only allow one cell change at a time via keyboard and mouse.  This data management different is ginormous.  Databases require a programmer to use SQL (Sequential Query Language) statements for bulk data manipulation and that is very time consuming and challenging compared to the bulk methods available in spreadsheets. These differences are not intuitive. A newbie who learned data management in a spreadsheet and then tried to upgrade to a database management system for an application would be shocked at the increased restrictions found in those systems.  The far more restrictive systems have a place in the technology world but it's not typically a good fit at all for most small business applications.
    2. Spreadsheet Platform Programming and the Spreadsheet environment presents an extremely unique and novel opportunity to do what no other language or platform does for data. The Spreadsheet programming language can be used to build and update dozens, hundreds, or thousands of dependency relationships in a matter of moments. Changes to data in one location can be reflected simultaneously across all dependencies in the file automatically without any "refresh" calls from the user.  This is a feature in spreadsheets that has no equal in database platforms. With cloud spreadsheets, changes in data can be reflected automatically across multiple file instances on multiple screens and in multiple user interfaces with ZERO screen refreshes required either.   To attempt to create the same "type of system" with our Current Database Platforms, dozens or hundreds of dependencies  would need to be created manually for a tiny application, AND the volume of manual screen refreshes becomes a Mission Impossible scenario immediately.  The differences are night and day , and the benefits for math and accounting related applications are far greater in spreadsheets.
There are other secrets too, but these are the BIGGIEs.  To the surprise of many, "Database platforms" were meant for "text" first and foremost, not math, nor dates, nor Bookkeeping nor Accounting systems for sure and this puts that on display with ease.

ASM 101 Intro - Part 4 - The ZAP Sales System and Bookkeeping System in images?

Snore not now, but in case you were, here's a review...
  1. The "BEST" way to learn about "Bookkeeping" for Personal, Small Business or Larger Business use is via "Small Business Scenarios"
  2. Most small business that are digitally oriented rely on both a Sales Software AND Bookkeeping Software in parallel to achieve their basic Bookkeeping and Accounting needs (with few exceptions).
  3. For a "real Small Business Person" or one acting like one to learn,  learning about Bookkeeping software without the acknowledgment of a Sales System leaves too many holes. There grows too much desire to want too much from the Bookkeeping Software. Thus they are taught together first.
  4. After learning the Small Business basics with two Software Systems in tandem, you can then decide if you want or need a "Sales System" or other type of complimentary template for your financial needs. Some EXCEPTIONS noted below...
    1. Many micro landlords will find a Bookkeeping System may be all they need
    2. Many mini landlords may see benefits of something similar but different from a sales system. Somthing a bit more operational in nature.
    3. Those pursuing prowess for personal accounting only will not see any need for a "sales system" at all, but they will need numerous other complimentary systems for managing the operations of life.

Part 4 is mostly pictures. It is a document to be viewed on your second pass. It provides a visual introduction to screens you will see when you open our suggested learning templates for the first time.
